Creating Billing Batches
- In the FlexAMS System, you are able to create billing batches that can be saved in an EDI Document or Spreadsheet format.
- (1) Navigate to the Billing tab in the Main Menu. Click “Export Billing Documents” and then the “Create Billing Batch” tab. You can select an existing batch from the drop down list or create a new batch by clicking the “New” button in the top left corner.
- (2) The Batch ID is automatically generated by the system and does not need to be changed. You should leave the Batch Status as blank until you are ready to submit the batch. Once completed, set the Batch Status to “Ready to Submit” and the “Export EDI Document” will become available.
- (3) Select the appropriate Clearinghouse from the drop down list. If you would like to restrict this batch to a particular Site/Facility, select the desired Site/Facility from the “Facility” drop down list, otherwise leave blank.
- (4) After filling in the necessary fields, the items in the Batch will be displayed at the bottom of the page. These items are in the form of a Data Grid and can be edited by clicking the Pencil icon on the left side.
- (5) When ready to export the batch, ensure there are no errors in the Batch Items Data Grid. Click either “Export EDI Document” or “Export Data for Spreadsheet” and the file will be downloaded to your computer. Make sure to click “Save” in the top left corner after exporting the batch to ensure it is saved in the system as well.

- The FlexAMS system will check for common errors and display them in the Batch items list. If an error is fixed after initially loading the batch, returning to the selected billing batch and hitting "Save" should refresh the items in the list and update the error status.

Running another batch at a later time with a Date Range that covers the previously errored items will pull any previous documents that originally had errors.
